Avon and Wiltshire Mental Health Partnership NHS Trust (AWP) is a leading provider of specialist mental health, learning disabilities, and autism services across the south-west of England. Faced with the challenge of processing a high volume of invoices efficiently whilst meeting NHS payment standards, the Trust implemented Proactis Invoice Capture in 2018.
Integrated seamlessly with Unit4 Business World, the solution transformed the Trust's accounts payable processes, achieving exceptional payment compliance rates and making AWP one of the highest-performing NHS trusts in the South of England.
Challenge
Avon and Wiltshire Mental Health Partnership NHS Trust provides high-quality, compassionate care for people living with mental ill health, autism, and learning disabilities. The Trust employs over 2,600 staff delivering community and inpatient services across the south-west of England.
With a significant and growing volume of supplier invoices to manage - processing between 6,000 and 7,000 each month - the Trust required a more efficient and automated solution that could work alongside its existing Unit4 Business World finance system. The key aim was to improve processing times, support compliance with the Better Payment Practice Code, and reduce the administrative burden on the Finance team.
The Trust sought an invoice processing tool that would automate routine tasks, eliminate manual scanning, and support staff working off site - whilst ensuring suppliers were paid accurately and on time.
Solution
In 2018, the Trust implemented Proactis Invoice Capture, a managed service that integrates seamlessly with Unit4 Business World. The solution enables all incoming invoices - whether paper-based or PDF - to be scanned, data-captured, validated, and imported directly into Unit4 without manual intervention.
Intelligent data capture extracts and validates key invoice information, ensuring accuracy before invoices are matched and dropped straight into the finance system. The cloud-based nature of the solution means that Finance team members can access and action invoices remotely, supporting the Trust's hybrid working arrangements.
The introduction of a dedicated query resolution workflow ensures that non-compliant invoices are handled efficiently and transparently, reducing discrepancies and freeing staff to focus on higher-value activities such as account reconciliation and supplier relationship management.
